Title: Office Administrator (Maternity Cover)
Role Purpose:
To support the business in achieving operational KPI’s and objectives.
Reports to:
Office Manager

Key Responsibilities


  • Arrange haulage for outgoing finished goods.
  • Raise transport manifests.
  • Input production paperwork.
  • Scanning and file management of production and delivery paperwork.
  • Dealing with delivery queries.
  • Liaison between warehouse, haulier, sales and customers.


  • Management of annual leave system.
  • Tracking and management of HR paperwork.
  • Organise long service awards.
  • Wellbeing champion role including running relevant initiatives.


  • Control of jobs through manufacturing and delivery processes to invoicing stage.
  • Reporting of outstanding deliveries and tracking of OTIF.
  • Finished goods and stock holding.


  • Produce and distribute correspondence memos, letters and forms.
  • Preparation for meetings and capturing notes.
  • Organise and maintain files and databases in a confidential manner.
  • Manage communication including phone calls and emails.
  • Schedule appointments, meetings and reservations as required.
  • Provide a high level of service and communication to our customers


  • Cover of other general office duties including order entry will be required during busy periods or annual leave.

  • Supports the team to meet and exceed KPI’s including delivery dates OTIF, stock holding, job management, invoicing targets, right first-time quality targets and high levels of customer service.
  • Adheres to Health & Safety procedures and ISO/BRCGS legislation where applicable.
  • Accountability - Takes personal ownership of all aspects of the job role inclusive of all Aintree Plastics policies and procedures.
  • Self-motivated - Creates own motivation. Self–motivation that displays a willingness to further personal skills and knowledge.

  • Proven administrative experience.
  • Excellent communication skills.
  • Strong organisational skills.
  • Knowledge of office management systems and procedures.
  • Excellent time management skills.
  • Comfortable with shifting demands.
  • Ability to multi-task and prioritise workload.
  • Attention to detail and problem-solving skills.
  • Good working knowledge of MS Office.
